The Cashier and Credit Office service model is for every Lewis & Clark student to have a designated student account representative. Four of the representatives in our office are each responsible for a specific alphabetic caseload of students. Through this approach our goals are to streamline the delivery of service and to foster the development of long term, interpersonal relationships between our staff and the people we serve.

On June 2nd, we welcomed Shelley Pearson as a new member of our team. Shelley is a Whitman College graduate and has spent the last five years working in a Portland Planned Parenthood clinic. Part of Shelley's role is to be the representative for the P-Z caseload.

Please note, we are taking this opportunity to reconfigure the caseloads for all of our student account representatives. Therefore, please take a moment to visit our Office Staff page to see who your student account representative is!

Real Time Account Info Online!

The ability to view a real time itemization of your student account activity is now available through WebAdvisor. Once you log into your student WebAdvisor account, you will find "My Account Statement" on your student menu selection. Through this option you will be able to see all transactions on your student account, as well as access online payment.

This real time itemization is only available through WebAdvisor. Unlike E-Bill, shared access for your designee(s) is not an option through WebAdvisor. If you would like to set up shared access so that your designee(s) will have access to view your statements and make payments on your student account, you can do so through E-Bill. Please be aware, the PDF statements available through E-Bill are not real time. Rather, they are a static snapshot of your account activity at a given moment in time.

Payment Plans and Your Student Account

We’ve changed the way that we identify Tuition Management Systems (TMS) contract amounts on students’ accounts at Lewis & Clark. Students who contract with TMS for the monthly payment plan receive conditional credit on their student account each semester for that semester’s portion of the contract. This now appears on the student’s account with a new description: PAYMENT PLAN-CONDITIONAL CR.

Student Account Question ~ Who to Contact?

In October 2007, the Cashier and Credit Office moved to a service model wherein every Lewis & Clark student has a designated student account representative. The October 12, 2007 entry below explains why we decided to adopt this approach.

Katie Stang has been responsible for the M – S caseload from the beginning. However, the time has come for us to thank Katie for her wonderful service and generous presence as she will be assuming a new position at an Oregon Health & Science University behavioral neuroscience lab. Congratulations, Katie!

Hold Credit Balance Authorization

If there is a credit on your student account, after all necessary adjustments have been made, a refund will be processed. It is our policy to not create refund checks for a credit less than $100. Therefore, credit balances below $100 can be released in the form of cash at the Cashier and Credit Office. All other refunds will be issued in check form.

If you wish to retain a credit balance on your student account to help offset future semester costs, please submit a Hold Credit Balance Authorization.

Financial Aid Credit Balance Authorization

The Cashier and Credit Office has developed an authorization form for use by students awarded federal Title IV financial aid. This authorization form enables students to choose if they would like to use their federal Title IV funds to help pay miscellaneous institutional charges.

Refund of Credit Balances

Updated: April 10, 2007

Effective the 07/08 academic year, the Cashier and Credit office will be processing student refunds according to the following policy:

After all necessary adjustments have been made to a student's account, any resulting credit will be refunded. Federal regulations require that credit balances resulting from a Federal PLUS disbursement be refunded to the parent borrower unless a written authorization is on file allowing the credit balance to be released to the student or held on the student's account. Such an authorization must be on file for each Federal PLUS loan borrowed. If the student's expenses are covered by a formal billing arrangement between the College and the student's employer, government agency or other sponsor, credit balances will be refunded to the third party sponsor. In all other cases, credit balances on a student's account will be refunded in the name of the student.

Assessment of Late Fees

Effective the 07/08 academic year, the Cashier and Credit office will be assessing late fees according to the following policy:

Lewis & Clark reserves the right to assess late fees to all past due student accounts. Late fees will be assessed as follows: balances of $999 and below are subject to a per semester $10 late fee, balances of $1000 and above are subject to a per semester $100 late fee.
