Student employment at Lewis & Clark has undergone significant changes since transferring to Human Resources. The following are announcements and updates that Sydney Somerfield, the Student Employment Coordinator, would like all student supervisors to know….
LC Jobs Training –
The student employment module of LC Jobs will go live the week of August 16-20. We will have training available on the following dates:
Thursday, August 19th
9:30am - 10:30am
11:00am - 12:00pm
3:30pm - 4:30pm
Friday, August 20th
9:30am - 10:30am
11:00am - 12:00pm
1:30pm - 2:30pm
Monday, August 23rd
11:00am - 12:00pm
1:30pm - 2:30pm
All student employment supervisors except those in the Law School are required to attend one of these trainings or send a department representative. To register, contact the HR Coordinator, Aaron Mulkey, at hr@lclark.edu, or call extension 6236. The training sessions will be held in Dubach PC labs in Templeton Student Center.
Once we have completed the training, you will need to use this new system to post jobs and the current student job database will be going away. If you absolutely can’t come to the training and can’t send anyone in your place, please email stuemp@lclark.edu as soon as possible.
Sydney will be sending supervisors the information that is in the current student job database so they can cut and paste the information into the new system. Unfortunately, she doesn’t have a way to distinguish between the information that is obsolete and that which is current, so please feel free to use only that which is relevant in posting positions in LCJobs.
Job Fair –
The annual Student Job Fair will be held on Thursday, September 2nd from 12:00-2:00pm. To reserve a table, please email stuemp@lclark.edu or call 503-768-6266. This is a great time to meet potential student employees face to face and explain the needs of your department.
Fall Hiring –
If you have students who are working during the summer in non-work-study positions who will continue to work for you during the fall, you will need to rehire them as fall employees. All summer positions that are coded “OTLB” in the WebAdvisor title description will be end-dated on August 29th. As soon as classes begin, the majority of students will begin using their work-study award, so we will need to rehire them into positions that pull from those funds.
If you know now that you will be rehiring a student for the fall, please complete a fall ER/A (available on the Student Employment website) and send that to Sydney as soon as you can. In a couple of weeks, she will be taking that database down and you will need to hire all students through LCJobs.
Note:The Law School positions will continue use the current ER/A form to hire Law School students.
New Hire Forms: First Week of Classes –
Student Employment representatives will be located at a table just outside of Fields Dining Hall the first week of classes. Please send students to this location to complete their I-9 and W-4 forms. The tables will be staffed from 9 a.m. to 5p.m. on Monday and Tuesday, August 30 and 3; 9 a.m. to 6 p.m. on Wednesday and Thursday, September 1 and 3; and 9 a.m. to 3 p.m., Friday September 3. After these dates students who are beginning employment will need to do new hire paperwork at the Human Resources offices during our regular business hours. Please remember that students must be verified as having a work study award and complete these new-hire documents prior to beginning work.
