The student must be hired by the student supervisor at least 3 business days in advance of the student’s intended start date. Use the appropriate Student Hiring Request form.
Prior to beginning work the student must complete Workday Onboarding, including the W-4 form, the I-9 form. These forms are completed electronically in Workday once the student’s position has been created.
Students may elect to be paid by check or may elect direct deposit by entering their bank account information in Payment Elections under the Pay tab in Workday. We highly recommend using direct deposit.
Time Entry and Time Approval Deadlines
Students should enter and submit their time worked in Workday on at least a weekly basis. There are many benefits to supervisors in approving time on a weekly basis also.
Time entry for the entire month (first through last day of the month) must be entered and submitted by the student employee by the 1st of the following month (e.g. September hours must be submitted by October 1st). If the student does not hit Submit for each week of time entry, the hours are not sent to the supervisor for approval.
The student supervisor is responsible for ensuring the student’s time worked is reported and approved by the student payroll approval deadline (2nd of each month). If the student fails to submit time for approval, the supervisor must enter the time to be paid.
Student Employee Payments
Student Payroll is run once per month. It is very important that students enter and submit time worked in a timely manner. Failure to do so may result in termination and/or delayed payments.
Payments are issued on the 10th of each month (or the prior Friday, if the 10th is on a weekend), and if direct deposit is not set up, checks may be picked up in the Office of Student and Departmental Account Services. Students will need to present photo I.D. to receive the check.
